UPI Payment Not Showing? A Merchant's 5-Minute Checklist

The customer says paid, your phone says nothing. Here is how to tell pending from failed, what to check first, and when to ask for the UTR.

It is the most stressful moment in a small shop. The customer shows you a green tick on their screen. Your phone shows nothing. Behind them, three more people are waiting. Do you let them go? Do you make them wait? This checklist gives you a fixed order to follow so you can decide in under five minutes, without guessing and without an argument.

First: pending is not failed

UPI payments have three states, and merchants often mix up the second two.

  • Success: money has left the customer’s bank and reached yours. This is the only state that counts.
  • Pending (processing): the customer’s bank has accepted the request but the transfer has not settled. Most pending payments succeed within a few minutes. A few eventually fail and the money returns to the customer.
  • Failed: the transaction was rejected. If money was debited from the customer, the bank reverses it automatically, usually within a day or two.

The customer’s screen often shows “Payment successful” from the app’s point of view even when your bank has not yet credited you. That is why the customer is sincere and you are still unpaid. Neither of you is lying.

The 5-minute checklist

Minute 1: Look at the customer’s screen properly

Do not just glance at the green tick. Ask to see the transaction detail. Check three things: the amount, the receiver name (it should be your shop or your name as registered with UPI), and the status word. If it says “Pending” or “Processing”, the money is on its way but not here. If it says “Failed” with a reversal note, they need to pay again.

Minute 2: Check your own UPI app, not just the notification

Notifications can be delayed or dropped, especially when your phone’s battery saver has killed the UPI app in the background. Open the app itself and pull to refresh the transaction history. Many “missing” payments are sitting right there.

Minute 3: Check your bank SMS

Your bank sends an SMS for every credit. If the SMS has arrived but the app notification has not, the money is with you. If neither has arrived after a couple of minutes, treat it as pending.

Minute 4: Check your own connection

If your phone has no data or weak signal, UPI app notifications will not arrive until it reconnects. Toggle aeroplane mode off and on, or switch from mobile data to shop WiFi. Then refresh the app again.

Minute 5: Decide

If the customer’s screen says success, the name is yours, and it has been under five minutes, it is almost always safe to release the goods and note the amount on a slip. If the status is pending for a larger amount, ask them to wait a few more minutes or pay in cash and cancel the pending one later. If it says failed, ask them to pay again.

When to ask for the UTR

Every UPI transaction has a 12-digit UTR (Unique Transaction Reference), sometimes labelled as a transaction ID or reference number. If a payment is pending or disputed, ask the customer to share the UTR. Write it down with the date, time and amount.

With the UTR, you can:

  • Search your own bank statement or UPI app history later and match the credit.
  • Raise a complaint with your bank or the UPI app if it never arrives.
  • Avoid a “he said, she said” situation. The UTR proves the customer attempted the payment, which is fair to them too.

For regulars, a photo of their success screen on WhatsApp is enough. For a one-time customer buying something expensive, get the UTR before they leave.

Why notifications get missed in the first place

Most missed payments are not bank problems. They are phone problems.

  • Battery optimisation on Xiaomi, Vivo, Realme and Samsung phones stops apps in the background, so the UPI app never shows its notification.
  • Silent mode or DND hides the sound, so the notification arrives but nobody notices.
  • Too many notifications from WhatsApp groups bury the payment alert.
  • Someone else’s phone. The QR belongs to the owner’s account, but the owner is not at the counter.

How an audio confirmation removes the doubt

This is exactly the problem MyBox was built for. Keep this checklist near the counter
